Privacy notice
What I collect, why I need it, how long I keep it, and how to ask me to delete it.
Who I am
Starlit Portraits is run by Olga Khan, based in Manchester, United Kingdom. I am the data controller for the information described here, and you can reach me at olgakhan.astrology@gmail.com.
What I collect
To make a chart I need the birth details you give me:
- the name to appear on the print
- date of birth
- time of birth
- city and country of birth
When you order, I also receive from Etsy the information they pass to a seller: your Etsy username, the delivery address for a physical order, the order number, and any message you send with the order.
If you write to me — about an order, or with a question — I have that message and the address you sent it from.
Why I need it
The birth details are the calculation. The positions on the chart are derived from the date, the time and the place, so without them there is no chart to make. City-level precision is enough for the place; I do not need an address.
Order and delivery information is used to make and send your order, and to answer you if something goes wrong.
The legal basis for both is that I need the information to carry out the contract you entered into when you placed the order.
Who else sees it
Your birth details are not shared with anyone. They are not sold, and they are not used for marketing.
- Etsy processes your order and payment. Their own privacy policy covers what they hold.
- The printer who produces and posts physical orders receives your name, delivery address and the finished artwork. They do not receive your birth details.
- My email provider holds any message you send me, in the same way any email provider does.
How long I keep it
Prints and digital downloads. Birth details are kept for twelve months from the date of your order, then deleted. Twelve months covers a reprint, a lost parcel, or a file you need sent again. Deletions are carried out monthly.
Readings. Birth details for a reading are kept for five years, then deleted. A reading is written work that I may be asked about long after it was sent, and five years covers a re-issue, a follow-up question, or a further reading built on the same chart. Reports use first names only.
You can ask me to delete either sooner. See below.
What you can ask for
You can ask me to show you what I hold about you, to correct it, or to delete it. You can also ask me to stop using it, or to send you a copy in a portable form. Write to me and I will answer within one month.
If you ask me to delete your birth details while an order is still being made, I will not be able to complete the order — I will tell you that before doing anything.
Cookies and tracking
This site sets no cookies. There is no analytics script, no tracking pixel and no advertising code, and the page loads nothing from any other company's servers — the typefaces are served from this domain rather than from Google. Nothing here follows you anywhere.
My host records the same basic information any web server does, such as which pages were requested and roughly where in the world the request came from. That is counted at the server, not on your device.
Complaints
If you are not satisfied with how I have handled your information you can complain to the Information Commissioner's Office, the UK's data protection regulator, at ico.org.uk.
Changes
If this notice changes I will update it here and change the date below.
